2025 Poster Submission Instructions
Due to recent VA mandates and guidance from the National Oncology Program Office, we have initiated changes to protect our members:
VA employees submitting posters MUST meet ONE of the following two requirements:
- Have obtained IRB Approval or the project is funded by ORD or VA Funds
- Have obtained Local, VISN, or Program Office's official approval to submit your poster to AVAHO for presentation at the 2025 Annual Meeting
Please note that AVAHO does not require proof of the above requirements. We only wish to relay the most updated information available as we receive it.
Presentation
- Presentations are limited to one speaker
- Time allotted: 5 minute presentation with 3 minutes for Q&A
- Practice your presentation, as you will be cut off by the moderator if your lecture runs over time!
Format
- All Posters must be a PowerPoint file (no other formats accepted)
- All Posters should have ONE page only.
- All Posters must be horizontal/landscape orientation.
- To ensure the best quality of your poster, please set the size to 33.8 x 19 inches (see instructions below)
Step #1: Set page size for your PowerPoint poster
On a PC:
Open PowerPoint and start a new blank presentation.
Go to the "Design" Tab: Click on the "Design" tab at the top of the screen.
Select "Slide Size": On the right side of the ribbon, click "Slide Size," then choose "Custom Slide Size."
Enter Dimensions:
- Set Width to 33.7 inches.
- Set Height to 19 inches.
Choose Orientation: Select "Portrait" or "Landscape" depending on your layout preference.
Click OK: PowerPoint may prompt you to scale content—choose “Ensure Fit” for safety or “Maximize” for larger visuals.
Design Your Poster: Add text, images, and graphics to create your custom poster.
Save Your Work: When done, save as a PDF for high-quality printing (File > Save As > choose PDF).
On a MAC:
Open PowerPoint and start a new blank presentation.
Go to the "Design" Tab: Click on the "Design" tab in the menu ribbon.
Select "Slide Size": Click "Slide Size" (or "Page Setup" in older versions).
Choose "Custom Slide Size":
- Set Width to 33.7 inches.
- Set Height to 19 inches.
Adjust Orientation: Select either Portrait or Landscape based on your preference.
Click OK: PowerPoint may prompt you to resize content—choose
Ensure Fit or Maximize depending on your design needs.
Design Your Poster: Add text, images, and graphics.
Save Your Work: Once finished, save the file as a PDF for high- quality printing (File > Save As > choose PDF).
Step #2: Build your PowerPoint poster
Single Slide: Build your Poster as a single slide only. Please incorporate all the elements of your abstract in the slide.

Formatting Tips
- Less is more. Be clear and concise with poster design and content. Overcrowding a poster makes it difficult to read.
- Include the title and name(s) of the presenter(s). Make the title larger and bolder font than the rest of the poster.
- Provide clear labels or headings for each section of your presentation.
- Remember contrast. Put light-colored fonts on dark backgrounds and dark-colored fonts on light backgrounds so viewers can see your text clearly.
- If you choose to embed audio, ensure you speak clearly!
- Set the page size to 33.8"W and 19.0"H and Set to Landscape orientation
- Save your fonts if necessary
Content Tips
Coverage: In addition to title/author and abstract, most successful posters provide brief statements of introduction, method, subjects, procedure, results, and conclusions. Ask yourself the following:
- Have I provided all the necessary information?
- What would I need to know if I were viewing this material for the first time?
- Will a casual observer walk away understanding my major findings after a quick perusal of my material?
- Will a more careful reader learn enough to ask informed questions?
Clarity: We recommend you do the following:
- Use large fonts and limit text to essential information. Place your major points in the poster and have the nonessential, but interesting, sidelights for informal discussion.
- Keep content simple and communicate clearly. Avoid whole sentences.
- Consider whether the sequence of information is evident. Indicate the ordering of your material with numbers, letters, or arrows when necessary.
- "A picture's worth a thousand words." Imaginative use of captioned illustrations, photographs, graphs, or other types of visually appealing material can be extremely effective at communicating during a poster presentation.
- Make your final conclusions a concise statement of your most important findings and implications.

2025 Call for Abstracts
2025 SUBMISSIONS CLOSED
Thank you to everyone who expressed interest in submitting abstracts this year.
We received a record-breaking number of submissions for 2025! The Abstract Reviewers will now begin the review process and will start sending out acceptance letters in early May.
ABSTRACT SUBMISSION GUIDELINES
Please review the following instructions carefully as you prepare your abstract. The following criteria will be used to score the abstracts. Ensure you address each criterion in your abstract!

AVAHO is providing examples of abstracts that were submitted in 2022 that received a high score. Each category was provided to help you when preparing your submission.
Remember: Each abstract will be graded based on the extent each of the above criteria were met. Any omission will result in a lower score.
Note:
- An author may submit no more than three abstracts; each author may serve as primary author on only one abstract.
- At least one author must be an AVAHO member in good standing.
- Abstracts must be free from commercial bias; promotional abstracts will not be accepted. Data from for-profit or industry sources are not permitted.
- Accepted abstracts will be presented as an e-Poster.
- There will be one general e-poster session this year with accepted e-poster presenters to discuss their e-poster with members.
- All authors of accepted abstracts will be required to record their poster presentation which will be available to members. (AVAHO staff will assist with this process)
- All authors of accepted abstracts will be required to complete a disclosure form as delineated on the abstract submission form.
- All abstracts are scored by a blind-review process, using the criteria delineated above.
